The analysis covers a review of how your workflows actually run, a written report listing the media breaks and duplicate data entry we find, and a prioritised list of measures with effort ranges. Implementation per automation or interface starts at 4,900 € net and is agreed as a fixed price after the analysis. Ongoing support starts at 190 € net per month. All amounts net plus statutory VAT.

Streamlining workflows in an existing business raises the same problem as refurbishing an existing building: the price depends on what sits behind the wall. How many systems are involved, how carefully the master data has been maintained, whether the software in use offers a usable interface at all — all of this drives the effort, and none of it can be settled conclusively over the phone. That is why we work with three separate pricing blocks in a fixed order: first the analysis, then the fixed price, then the implementation. This page sets out how each block is calculated and where the price moves up or down.

Three building blocks, one traceable price
The first block is the process analysis. It is not a preliminary chat and not a sales visit but genuine work: we sit with the people who run the workflow every day, follow one case from enquiry to invoice and record where data is entered a second time, printed out, retyped or passed on by word of mouth. The result is a written report that you keep even if you commission nothing further from us. That is precisely why we charge for the analysis instead of giving it away: an outcome you can use without us is a service, not a sales approach.
The second block is implementation, calculated separately for each measure. An automation of recurring work, an interface between two systems, the consolidation of scattered data or a reporting view with key figures are undertakings of different size carrying different risks. A single bundled price would obscure that. The third block is ongoing support: monitoring of the workflows we built, small adjustments, one named contact. It is voluntary and tied to no minimum term beyond the agreed period.

The analysis fee counts towards the implementation
Why an analysis comes before the quote
A quote without an analysis is either guessed or padded. Guessed means the provider names a figure, corrects it later through add-ons and argues about responsibilities as the project runs. Padded means a precautionary risk premium is added that you pay for even though your case turned out to be straightforward. Neither variant is easy for you to plan around. We go the other way and look into the systems before any figure goes on paper.
In practice, the analysis regularly shows that the most expensive workflow is not the one people complain about loudest. We more often find that several small handovers together tie up more working time than the single large process that was on the agenda (project experience). Just as often it turns out that a measure is technically feasible but not economically sensible, because the workflow only occurs a few dozen times a year. Having that insight before placing an order is cheaper than having it after implementation.

You receive the list of findings, an assessment by effort and impact and a proposed sequence. Each measure carries an effort range so that you can judge the overall envelope before deciding on a first stage.

What determines the price of a measure
Two businesses with the same wish — "orders should no longer be retyped" — can be far apart in effort. The difference rarely lies in the automation technology itself but in the rules that have to apply beforehand and in the condition of the data being worked with. In our project practice, these six factors explain most of the price differences (project experience).
Number of systems involved
A workflow that touches only one system is manageable. As soon as inventory management, time recording, accounting and an industry-specific application have to work together, coordination and testing effort grows with every additional participant.
Condition of the data
Well-maintained master data with unambiguous numbers is processed quickly. Duplicate customer records, inconsistent spellings and free-text fields grown over years require cleansing and matching rules before any automation can begin.
Interface situation of the software
A documented programming interface is the cheapest case. Systems that only offer file exports, or nothing at all, need a detour via intermediate formats — that costs development time and makes operation more demanding.
Depth of the business rules
A linear workflow without exceptions is rare. Approval limits, special conditions, rush orders and sector-specific checks each have to be described and tested individually, and they drive effort more than data volume does.
Participation inside the business
When contacts are named, access is ready and questions are answered promptly, a project moves quickly. Long waits for decisions extend the timeline and with it the effort on both sides.
Legacy systems in the background
If an ageing system is to remain in place, the automation has to accommodate its quirks. If it is to be replaced step by step, a migration path is added that is calculated in its own right.

How the analysis turns into a fixed price
The fixed price does not come from a gut feeling but from what the analysis actually examined. For each measure we write down in advance which system leads, which fields are transferred, what applies in case of conflicts and how the workflow should behave when a target system cannot be reached. Only once those points are settled can the effort be estimated seriously. That description becomes part of the quote — and it is at the same time the boundary against which it can later be measured whether a requirement was already included in the price or is genuinely new.
If a requirement surfaces during implementation that nobody had in mind beforehand, you receive a short written estimate and decide whether we implement it. Without your approval no work is done on it and nothing is charged. The reverse also applies: if a planned measure turns out to be simpler than assumed, the fixed price stands — that is the other side of the planning certainty you receive. In such cases we tell you on our own initiative which additional measure could sensibly be added with the effort that has become available.
What is included and what is charged separately
- Included in the analysis fee: preparation, review of the workflows inside the business, conversations with the staff involved, inspection of the existing interfaces and data structures, the written report and a joint session in which we present the findings.
- Included in the implementation fixed price: functional concept and field mapping, development, error handling rules, testing on a test environment, supported go-live, process documentation and a briefing for the staff concerned.
- Itemised separately: licences for add-on modules of your existing software, hosting or server operation for intermediate components, fees for external services and the effort of third parties such as your current software provider.
- Charged by effort: larger data cleansing exercises, migration of historical records, adjustments to systems we have no access to, and training that goes beyond the briefing at handover.
- Not charged: the initial conversation, the preparation of the quote and the questions needed to clarify the scope before you place an order.

Ongoing support after the rollout
An automated workflow is not a piece of furniture that you set up once. Software updates change field contents, passwords and access credentials expire, contacts move on, and legal requirements change what is expected of documents and retention. That is why support exists as its own block — voluntary, in three levels and with no hidden base fee on the implementation price. If you would rather not book it, you still receive the complete documentation and can continue the workflow with your own team or another provider.
